SECURITY POLICY
At the start of employment, employees may receive equipment (laptop, camera…) if required. Employees are responsible for keeping these secure and should not share these items with anyone, including fellow employees.
Loss of these items must be reported to the HR manager immediately. Employees are responsible for covering the costs for replacing these items.
Upon expiry of employment, the employee must return the items.
Attendance
Employees are expected to report to work 15 minutes prior to the start of the morning meeting and should arrive prepared and in proper work attire if located in the UAE and coming to the office. If it is impossible to report for work as scheduled or to attend the morning meeting, employees must notify their manager at least 60 minutes prior to the start of their scheduled shift if they are going to be late. If the manager is not available, an email should be sent to the manager and the HR. If the absence is to continue beyond the first day, the employee must notify their manager and HR department on a daily basis unless otherwise arranged.
In the event that the employee is absent from work for three or more consecutive days, KINGSMEN reserves the right to request a doctor’s note. If the Employee is absent from work for three or more consecutive days and fails to inform their manager and the HR, the absence is considered a voluntary termination.
All employees are to provide a doctor’s note for the missed shifts if requested by their manager or the HR. An employee who fails to call in and/or report to work for three (3) consecutive workdays without notifying their manager is considered to have voluntarily terminated their employment.
Regular attendance and punctuality is a necessary requirement of employment as it affects the efficient operation of the business. Excessive, unplanned absence will not be tolerated at KINGSMEN AGENCY and could result in disciplinary action, including termination.
COMMUNICATION
The communication of consistent and accurate information to the public is vital to the image of KINGSMEN AGENCY and its clients. Therefore, all employees are required to clearly communicate
to the customer in a professional manner. Conversations with customers should remain professional and matters discussed should only relate to the program. Unprofessional and/or inappropriate conversations with managers, co-workers or customers will be subject to disciplinary action up to and including dismissal.
Employees are required to respond to all emails, text messages and voicemails promptly and professionally. Failure to do so will result in disciplinary action up to and including dismissal. Company information will be conveyed to all employees on
a regular basis and employees are encouraged to provide
their feedback. In the event that a conflict arises between the employee and his/her manager, the employee is encouraged to contact Human Resources directly.
PERSONAL CELL PHONE USAGE
During working hours, cell phones must remain on silent/vibrate and out of sight from customers. Personal calls or texting is not permitted during working hours. Cell phones are only allowed for communication between the employee and their supervisor and customers during working hours.
DRUGS AND ALCOHOL
KINGSMEN AGENCY realizes that the misuse of drugs and alcohol impairs employee’s health and productivity. Drug and alcohol problems result in unsafe working conditions for all employees and customers. KINGSMEN AGENCY is committed to maintaining a productive, safe, and healthy work environment, free of unauthorized drug and alcohol use. Any employee
involved in the unlawful use, sale, dispensing or possession of controlled substances, illicit drugs and alcohol on company premises or work sites, or is found working under the influence of such substances, will be subject to disciplinary action up to and including dismissal and referral for prosecution.
CONFIDENTIALITY & NON-DISCLOSURE
KINGSMEN AGENCY is committed to protecting the privacy of its clients, employees and customers, and adhering to the principles of trust, integrity and professionalism in accordance with the highest moral and ethical standards.
Personal information is treated on a needs-to-know basis in
a manner consistent with the performance of the employee’s specified employment duties. KINGSMEN AGENCY will inform employees of the existence, use and disclosure of their personal information in the control of KINGSMEN AGENCY and upon request, provides employees with access to their information.
This policy applies to all employees and members of KINGSMEN AGENCY management. Everyone is expected to uphold this policy and will be held accountable by KINGSMEN AGENCY.
While employed at KINGSMEN AGENCY, employees will acquire detailed and confidential knowledge of the operations of KINGSMEN, including, and without limitation,
a) Competitively sensitive information, such as information concerning product design and data sources;
b) Personal information, such as names and addresses, buying habits and preferences of corporate clients, program participants, employees and consultants or prospective corporate clients for whom marketing plans are under development by KINGSMEN AGENCY;
c) Privileged information, such as pricing and sales policies, pricing and sales techniques, and pricing and sales concepts;
d) Trade secrets;
e) Product techniques and concepts; and such other information as KINGSMEN AGENCY may designate as being confidential at any time or from time to time.
Employees must not in any way collect, use, disclose, or make accessible to any person, either while employed by KINGSMEN AGENCY or at any time thereafter, any confidential information relating to the business of KINGSMEN AGENCY, except for the purpose of performing the duties under their Agreement.
Employees may acquire detailed and confidential knowledge of the operations of the clients of KINGSMEN AGENCY, including confidential documents, materials and information. Employees must execute and deliver any form of confidentiality agreement as required by any client of KINGSMEN AGENCY and that any confidentiality agreement will form part of their Agreement.
In the absence of the execution and delivery of any such confidentiality agreement, employees must not in any way collect, use, disclose, furnish or make accessible to any person, either while employed by KINGSMEN AGENCY or at any time thereafter, any confidential information relating to any client of KINGSMEN AGENCY except for the purpose of performing their employment duties under their Agreement.
Confidential information contemplated may include personal information, such as names, addresses, financial information, buying habits and preferences of past or present clients of KINGSMEN AGENCY and prospective clients for whom marketing plans are under development by KINGSMEN AGENCY.
Employees must notify their supervisor/HR immediately
upon discovery of any unauthorized use or disclosure of any confidential information, to co-operate with KINGSMEN AGENCY and to help regain possession of such confidential information, and to prevent its further unauthorized use or disclosure.
Employees must immediately return all originals, copies, reproductions and summaries of confidential information and other KINGSMEN AGENCY or client property upon the termination of their Agreement for any reason, or upon KINGSMEN AGENCY’s request, whichever occurs earlier.
This policy applies to all employees and members of KINGSMEN AGENCY management. Everyone is expected to uphold this policy and will be held accountable by KINGSMEN AGENCY should this policy be violated.

CONFIDENTIALITY & PRIVACY
Employees must not disclose confidential information. Employees must honor the terms of their contract with the company and contracts the company has with any client. Do not disclose or
use confidential or proprietary information of the company
or any client in any form of online media. Sharing this type of information, even unintentionally, can result in legal action against you, the company or the client.
Employees should avoid forums where there is little control over what they know to be confidential information.
Employees should respect the privacy of their employees as well as the opinions of others. Before sharing a comment, post, picture or video about a client or other employee through any type of social media or network, obtaining their consent is not only a courtesy, it is a requirement.
